| PROCUREMENT Definition: (formal) The process of obtaining supplies of something, especially for a government or an organization. ______________________________________________________________________ * All ten elements should be in. 1. Purposeful - to meet a requirement (connect to #2). 2. A need for supply or a replenishment is duly established. __________________ 3. Request (= advert, notice, etc.) is made appropriately, stating the conditions and terms applicable. 4. Applications or bids are submitted and received/acknowledged. __________________ 5. Bids are scrutinized and assessed by the appropriate official(s)/organ(s) of government or organization and winner(s) get their award letters, order forms, etc. Appropriate documentation - agreement, memorandum of understanding, etc. - is thereafter completed. 6. Samples of items to be supplied, if necessary, are provided and approved accordingly. __________________ 7. Supply is made as exactly as in the agreement(s). 8. On delivery of supplies, a pro forma is submitted. Thereafter, appropriate documents are filled. __________________ 9. Bill(s) are processed and payment(s) for supplies is/are made as in the agreement(s). 10. Storage, allocation, display (= use/usage), etc., as applicable, of the items supplied takes place.
